Lochwood Academy Policies
CALENDAR: Lochwood’s calendar runs from August 17, 2015 to June 4, 2016 (38 weeks). Registration is open all year long. Students may withdraw at any point during the year as long as a one month written notice is provided (See our Withdrawal Policy below). Lochwood does not follow any public/private school calendar. Holidays are indicated on Lochwood’s 2015-2016 Calendar. These holidays are not included in the annual tuition calculation.
REGISTRATION: A non-refundable yearly registration fee of $35 ($80 for families of 3+) will be required for all new and returning private lesson students. This fee is due with your first month tuition payment. Students may register at any time and their first month tuition will be pro-rated based on their starting date.
TUITION: Tuition is based on an annual plan consisting of 38 weeks of instruction from August 17, 2015 - June 4, 2016. Some months have 5 teaching weeks and others will have 4 or 3 teaching weeks as indicated in Lochwood’s calendar. The monthly tuition amount is constant and remains the same regardless of the number of teaching weeks in the month. Tuition is due monthly by the 10th, after which time, a late fee of $15 will be assessed to your account. Tuition covers more than just the time spent in lessons and a flyer can be found at the studio to explain.
PAYMENT: We except all major credit cards, including Visa, MasterCard, American Express, and Debit Cards as well as cash and checks. We offer an optional auto-payment program that is a safe, secure and convenient way to pay for tuition. For more information, please speak to our office manager.
LATE FEE: A $15 late fee will be assessed to accounts when tuition payments are not received by the 10th.
DROP OFF/PICK UP: Punctuality is important in order to keep classes and lessons running on schedule, so please be prompt in dropping off student. Please arrive a few minutes before the end of your child’s private lesson in case the teacher would like to talk to you about your students progress. Lesson time loss due to late arrivals will not be made up. Parents are welcome to wait in the waiting area. Lochwood’s staff cannot be expected to supervise children prior to or following the group class or private lesson. For their safety, students must wait for their parents inside. Lochwood Academy assumes no responsibility for children who leave unaccompanied.
PRACTICE EXPECTATIONS: Students are expected to establish a daily practice routine that will allow them to successfully complete the weekly assignments between lessons. Students should be able to practice by themselves, however, parents are expected to support the student(s) by ensuring they have sufficient daily practice time and to encourage their practice. This will allow students to feel successful in their lessons.
MISSED LESSONS: Lochwood Academy does not issue credits/refunds for student absences. However we do offer the possibility of rescheduling lessons for a small additional cost of $15 per rescheduled lesson.
RESCHEDULE/MAKEUP COST: At Lochwood Academy, we reserve the lesson time slot for each student on a weekly basis. Once the lesson times are assigned for the Calendar year, the schedule is set and we can no longer offer that time slot to anyone else. the teacher’s time and the room are reserved exclusively for the student. For this reason, when a student misses a lesson—with or without advanced notice— it is always charged regularly. In order to give a make up lesson, teachers have to allocate an additional time slot for the student and the room has to be booked again. Even though we do not guarantee that this will be possible due to our teachers’ busy schedules, we do our best to accommodate rescheduling requests. The cost of these reschedules/makeups is $15. This allows students the opportunity to receive their original lesson at another date instead of losing the lesson, as it would happen in a regular school setting. It also allows teachers to receive a minimum compensation for their extra time. Makeup lessons must be recovered during the term in which the lesson was missed. Makeups or rescheduled lessons are non-transferable in between terms. Students who miss the scheduled make up will not be able to receive a second make up. Only one make up opportunity per missed lesson will be granted.
WITHDRAWAL: Even though we do not require a long term commitment, if for any reason it becomes necessary to withdraw a student from lessons, the responsible party must submit a withdrawal form online or ask for one from the office. The drop form must be submitted before the first day of the student's last month. For example: If a drop form is submitted on October 4th, November will be the student's last month. October and November's tuition is still due. If the drop form is not completed, Lochwood will continue to bill the financially responsible party. Non-attendance is not considered withdrawal from lessons. Lochwood requires this notification in order to open the spot to another student.
OCCASIONAL TEACHER ABSENCES: At Lochwood Academy, the faculty is comprised of experienced and dedicated teachers who are also active performing musicians. Due to our faculty’s active performing and teaching careers, and in order to ensure uninterrupted class schedule, a substitute may occasionally work with students in lieu of their regular teacher. This opportunity will provide students with a different perspective by incorporating new ideas into their musical learning experience which may include, anything related to the performing arts.
2016 SUMMER TERM (JUNE 6 - MID AUGUST): Private lessons continue through the summer based on student and teacher availability. The Summer term allows for more scheduling flexibility and lessons may take place on different and times. These lessons are billed separately from the yearly tuition and will be billed at: $27.50 per 30-minute lesson, $41.25 per 45-minute lesson and $55.00 per 60-minute lesson.
BOOKS PURCHASE: All students are expected to purchase their lesson books, sheet music or anything related to their lesson. These will be billed separately from the tuition.
INCLEMENT WEATHER: Should the need arise to close Lochwood due to inclement weather (major hurricane or similar), Lochwood will notify the students via email, phone, or text. Lessons cancelled due to inclement weather will not be refunded, however, Lochwood will make every effort to reschedule the missed private lesson or provide a master class, depending on schedule availability. Group classes that are cancelled due to inclement weather will not be made up.
UPGRADING/DOWNGRADING LESSONS: Students may upgrade their current lesson length at any time during the year with written notification to the office. Lessons upgraded in the middle of the month will have the tuition pro-rated to include the extra length of time. If students wish to downgrade their lesson length, a written notice must be received by the office before the beginning of the next month.
