Terms and Conditions

Music lessons are more than just an activity. They boost academic performance, creativity, memory, and self-confidence—and the joy of music is something that will stay with you through life. At Lochwood Academy, you can start any time and stay enrolled for as long as you like.

These Terms and Conditions apply to all students taking Lessons/Classes/Events at Lochwood Academy and supersede any previously written or spoken agreements.


Registration

Private lessons (Artistry and Elite Programs) & Group Classes are based on a school-year commitment level and are offered on a weekly basis according to the Lochwood Calendar.

A mandatory non-refundable registration fee is due upon registration. All students must register before scheduling and/or starting lessons/classes. 


TUITION

Artistry & Elite Program:

Our tuition is based on a yearly price that wise split evenly between 9 installments to make easy budgeting for our families. No matter how many lessons may fall in any given month, the installment amount remains the same. You can enroll at any time during the year.

Installment Schedule:

  • 1st Installment - September 1st

  • 2nd Installment - October 1st

  • 3rd Installment - November 1st

  • 4th Installment - December 1st

  • 5th Installment - January 1st

  • 6th Installment - February 1st

  • 7th Installment - March 1st

  • 8th Installment - April 1st

  • 9th Installment - May 1st

Payment Methods

  • TeacherZone AutoPay via Card (Auto Pay on the 1st of each month)

  • TeacherZone AutoPay via ACH (Bank-to-Bank) - $5 Discount available (Auto Pay on the 1st of each month)

  • Cash/Check - Accepted through the studio payment box. All payments are to be made directly to Lochwood Academy; under no circumstances are payments to be given to instructors. You agree to pay a $40.00 USD service charge for all returned checks.

No matter how many lessons may fall in any given month, the installment amount remains the same.

We offer a small discount for families who have 3 or more students taking private lessons and for those families who would like to pay upfront for the year via cash/check. These discounts cannot be combined with any other discounts or scholarships.

A $15 LATE FEE will be assessed to each account when not received by the 7th of each installment month.

Group Class Tuition:

Musical Theatre I & II, Drama I & II, Tiny Thespians, Piano Class - Registration for these Performance Classes covers the full school year and tuition is payable in 2-semester installments (Sept & Jan) or (1) Full-Year installment.

Adult Tuition:

Adult's are offered the opportunity to take lessons on a "Pay-As-You-Take" basis or through the Artistry Program. Lessons are scheduled on a regular, recurring basis.

Summer Tuition:

We offer Summer lessons on a Pay-As-You-Take basis or packages of 4 or 8-lesson bundles.


Music Books & Supplies

Artistry & Elite Programs: Music books are included.

Pay-As-You-Take & Adult Programs: Music books are not included, but can be purchased through the studio.

RCM Exams: Students who choose to participate will be assessed a $25 materials fee, in addition to agreeing to pay for the examination.

Supplies: ie. Strings, reeds, etc. can be purchased through the studio.

*due to copyright laws, no photocopies should be given to the student.


SCHEDULE/LESSON CHANGES

Lochwood Academy operates on a professional development hour. Every lesson is guaranteed at least the following; 60 Min Lessons = 50 Min, 45 Min Lessons = 37 Min, 30 Min Lesson = 25 Min. This allows our teachers to talk with parents, ready the studio and make a student transition. If the student arrives late to the lesson, that portion of the lesson will be considered missed.

Each lesson is scheduled for one instrument for the student's continuity and progress. 

All changes of any kind, must be approved by the Lochwood office. ie. Adding or subtracting lesson time, adding or subtracting instruments, etc. 

Please contact Lochwood Academy’s office with any questions or comments about lessons or instructors. While it is our hope to offer you a quality, long-term instructor, Lochwood Academy reserves the right to substitute instructors should it become necessary.


AWARENESS OF DATES, EVENTS, AND CHANGES

It is the responsibility of the parent, legal guardian or adult student to:

  • Be aware of all studio activities, such as regularly scheduled lesson/class times, performances/recitals, extra rehearsals, dress rehearsals and dates the studio is open or closed. This information will be posted on the studio calendar, at the studio, on the student hub website or the official website. 

  • Regularly check this information.

  • Inform Lochwood of any address, email, or telephone number changes. 

  • Update their billing information on the TeacherZone account. 


MISSED LESSONS/CLASSES

Artistry & Elite Program:

Lochwood Academy strives to keep their teachers schedules stable, therefore we adhere to a strict no make-up policy. 

When necessary (temperature, sick, vacation, school activities, etc.) , each in-person student will have the option to have a lesson administered virtually at their regularly scheduled lesson time or be sent a video message lesson from their teacher. Each virtual student will have the option to have their lesson administered via a video message lesson. To take advantage of these options, Lochwood Academy’s office must be notified no less than 3 hours before said lesson time.

In-Person or Virtual Lessons will be considered forfeited if the student is a "no-show".

In the event the Teacher misses a lesson, said lesson will be taught by a qualified substitute. If a substitute is unavailable, a make-up will be scheduled for a future date in person or virtually.

Students who are tardy to lessons have no guarantee of receiving their full lesson time.

Students who miss three (2) consecutive lessons without any communication will result in losing their scheduled time slot and will need to reschedule a new time when returning.

Group Classes:

Group classes can not be made up for a students absence. If an instructor must cancel a lesson, either a substitute instructor will be assigned or the class will be rescheduled.

There will be NO refunds/credits made for a student’s absence from a class. 

Adults:

As a "pay-as-you-take" student, there are no makeups or rescheduling of lessons. We ask for a 24-hour notice of any cancellation. With no notification or less than 24-hours before the lesson, the lesson will be invoiced.

Scholarship Students:

Students on scholarship are only permitted make-up lessons for those missed by the teacher, not for activities outside the studio.


SUBSTITUTE TEACHERS

Lochwood reserves the right to provide a substitute teacher or convert “that days” lessons to virtual if the regularly scheduled teacher is ill or otherwise unable to teach. If a teacher is out and Lochwood cannot arrange a substitute, any missed lesson/class will be made up before the end of the semester.

Students who do not wish to take from the provided substitute will forfeit the lesson with no refund or make-up.


WEATHER/EMERGENCY/SHUTDOWNS

If Lochwood must cancel lessons/classes due to extreme weather, the missed lessons/classes will be rescheduled at another time. If a rescheduled class/lesson is missed, it will not be rescheduled again.

If Lochwood must shut down according to government advice or events beyond our control, the missed lessons/classes will be administered either virtually and/or through daily resources and activities. Daily activities are geared towards all students to strengthen their knowledge of the performing arts and can be used in whatever facet they choose.


WITHDRAWAL PROCEDURES

Artistry & Elite Program:

Written notice to the office must be submitted before the 1st of the new month. Please use this form: www.lochwoodacademy.com/changemyenrollment If notification is not received by the 1st of the month, no credits or refunds will be given and tuition will still be due. However, students will be encouraged to take lessons for the month since they have paid for them.

If a student withdraws before the 4th installment, all lessons will be changed to a “pay-as-you-take” payment method and you will be required to pay any balance you may have for books and lessons.

Group Classes:

Musical Theatre I & II, Drama I & II, Tiny Thespians, Piano Class - When the office receives an official withdrawal form for a student prior to the first scheduled class meeting, a full refund (minus $50 admin fee) will be granted. After the first scheduled class, a pro-rated refund may be given and after the 2nd scheduled class, there will be no refunds/credits.

PAST DUE ACCOUNTS

The office will notify families and teachers of any past-due accounts. Lessons will be temporarily suspended until the account is settled. Lochwood teachers will not teach the student during this time. Lochwood will let the teacher know when lessons will resume. Suspended lessons may NOT be made up. Resumed suspended lessons are not guaranteed the same schedule.

If there is a financial issue, please contact the office immediately and let us help.


GROUP CLASS CANCELLATIONS

Group classes are subject to a minimum enrollment. Unfortunately, courses are sometimes cancelled as late as the day of the first class meeting. If your course is cancelled, you will be contacted and given the option of substituting another course or receiving a full refund.


 PERSONAL PROPERTY / LOST & FOUND

Lochwood Academy is not responsible for personal property lost or damaged on the premises. A Lost & Found is provided for students’ left possessions. Items can be picked up any hour of operation. Items remaining in the Lost & Found for more than one month will be discarded.


GENERAL

Only water is allowed in the individual studio rooms. 

Reading books are available for you to enjoy and coffee is available for adults to enjoy in the lobby.

Please keep noise to a minimum in the lobby as excessive noise can make it difficult for students to concentrate in their lessons and classes. The front desk receptionist has the right to request disruptive behaviors to step outside. 

Please be respectful of the studio atmosphere. Speak in low voices, walk, and chairs are for sitting only.

Under no circumstances will contact information be exchanged between Student and Teacher. If contact is needed between parties, TeacherZone Chat can be used or by contacting the Studio Office.

During the lesson times at 109 W. Commercial St, student and/or parent/legal guardian will be responsible for their own health and safety and waive their right to legal action. The student and/or parent/legal guardian is fully responsible for any damage to school property.

Parents/ Guardians are asked to use the waiting room during lessons and not interrupt lessons if possible. This is important to help concentration for both teacher and student.

Parents who sit in on their child(ren)'s private lessons, please hold all questions and comments to the last 5 minutes of the lesson to allow the teacher to teach and relay proper lesson material in a timely manner. 

Please arrive on time and also make arrangements to pick up students punctually. Lochwood Academy is not responsible for students outside of their regular lesson/class time.

Students may not cause harm or damage to equipment on the premises or walk around the building into any other areas without permission from the teacher.

Our policies will allow us to continue to build a legacy of great music education. Please note that these policies are subject to change at any time with or without notice. The online version will always be the most up-to-date version.
